ED PRIVATE TOURS LTD is the data controller responsible for the personal information described in this Privacy Policy. You can contact us about privacy at info@edprivatetours.com. Its registered-office details are displayed in the website footer and are not repeated in this policy.
This policy applies only to Ed Private Tours. It does not apply to websites, apps or services operated independently by another organisation; those services have their own privacy information.
2. Information we may collect
Depending on how you contact or book with us, we may collect your name, email address, telephone number, booking reference, preferred tour, travel date, group size and messages or other information you provide in an enquiry.
For a booking, we may also need passenger names and contact details, pickup and drop-off information, itinerary preferences, luggage requirements and information needed to arrange the tour. Where a child seat is requested, this may include the child’s age, approximate weight and required seat type. If you voluntarily provide accessibility, mobility or relevant health information, we will use only the information needed to consider and arrange the request.
We may receive communications you send by email, telephone or WhatsApp. Please avoid sending more sensitive information than is necessary for your enquiry or booking.
This preview website does not accept payment-card information. When a payment function is introduced, the payment provider and its privacy information will be shown during the booking journey. Do not send full payment-card details by email.
3. How we use information and our lawful bases
We use personal information to answer enquiries, discuss availability, prepare and manage bookings, arrange pickup and drop-off, provide the tour, process payments and refunds, communicate about a booking, respond to complaints and meet record-keeping obligations.
- Contract and steps before a contract: where information is needed to answer a booking enquiry, take a booking or provide the agreed tour.
- Legal obligations: where we must keep records, respond to lawful requests or meet accounting and tax requirements.
- Legitimate interests: to operate the business responsibly, keep records, prevent misuse, protect the website and improve customer service, provided those interests are not overridden by your rights.

4. Booking, payment and technical service providers
We share information only where needed to provide or support the service. This preview website does not currently contain a live booking widget, payment integration or public enquiry form. When a booking function is introduced, the booking service, payment provider and their privacy information will be shown at the point where information is collected.
The website uses locally hosted Manrope font files and does not request fonts from Google. The live website host and any technical providers will be identified in this policy before launch.
We do not currently use website analytics, advertising pixels, marketing cookies or third-party tracking scripts. If this changes, we will review this policy and provide any required notice or choice before using them.
5. International transfers
No provider-specific international data transfer is configured for this preview website. Before a live host, booking service or payment provider is introduced, we will confirm where information is processed and, where required, the safeguard used for an international transfer.
6. How long we keep information
- Unsuccessful enquiries: 12 months after the final communication.
- Confirmed booking, payment, invoice and accounting records: six years from the end of the relevant company financial year, or longer where required by law, an HMRC enquiry or an active dispute.
- Child-seat information: deleted within 30 days after the tour unless needed for an incident, complaint or legal obligation.
- Accessibility and medical information: deleted within 30 days after the tour unless needed for an incident, complaint or legal obligation.
- Routine pickup, drop-off and operational notes: deleted or minimised when no longer needed after completion of the tour.
- Marketing subscription information: kept until consent is withdrawn or the marketing activity ends. We retain only the minimum suppression information needed to honour an opt-out.
- Website security logs: 90 days, unless longer retention is needed to investigate a security event.
The retention period for complaints, accidents, incidents and legal claims will be confirmed with the relevant insurer or legal adviser before launch. We will update this policy when that period is confirmed.
7. Marketing
We will use your contact details for marketing only where permitted by law. Where consent is required, we will ask for it separately. You can withdraw consent or object to direct marketing at any time using the privacy contact details above.
8. Your rights
Subject to applicable law, you may ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, a portable copy of certain information, or to object to processing based on legitimate interests. Bookings are made by an adult lead passenger. We collect information about children only when it is needed to arrange the tour, including an appropriate child seat requested in advance. Please do not provide a child’s information unless it is relevant to the booking.

At the date above, this website does not use analytics cookies, advertising cookies, marketing cookies, non-essential browser local storage or third-party tracking scripts.
